How to process and export shipments to Canada Post Using Electronic Shipping Tools Desktop
Preparing Shipments
To process all shipments that has been paid for click on "Shipping" then "Process Shipments".
For each Canada Post shipment, ensure that you enable the "Confirmation" checkbox. This will tell the
Canada Post program to assign a tracking number to your shipment.
Once you are ready, scroll to the bottom and click on "Recalculate"
and select a service level for shipping. Once you are ready to
process the shipment for export to the Canada Post program, click on
"Print". Repeat this step for all Canada Post shipments.
Exporting shipments to the Canada Post program for Printing:
Under the "Shipping" menu click on "Manage Shipments". This will
display all shipments that were processed through Laris. Identify
the shipments that still say "processing". These are the
shipment you should export. Another way to identify which shipment
to export if you are using multiple shipping couriers, you and click
on the "Carrier and Service" column which will sort all your
shipments by Carrier.
Select all Canada Post shipments of a single type (for every type of service
level used, a different export is required). Then, where is says "For
selected Items", choose "Export Canada Post Text Order Entry File".
A dialog box will appear asking you to save the file, ensure that
you save the file to any directory.
Processing shipments in the Canada Post program
- In the next series of steps, you will be processing Canada Post labels for all exported shipments from Laris.
- Open the Canada Post Electronic Shipping Tools Desktop 3.0.0.17 program
- At the bottom of the screen, select "Import Order File" from the "Tables" submenu.
- A file browser window will be displayed. Find and select the canadapost.txt file from the directory where you saved it during the Laris export. Once the file is selected click the "Open" button. After the file has been imported, you should receive a popup message that says "Import was successful".
- Navigate back to the main screen. Look for the "Data Maintenance" menu at the top of the screen. From that menu, select "Group Shipping of Imported Orders".
- From the window that opens, click the "New" button and supply a name for the list. This name can be whatever you choose. After you have typed the name of the list, hit the "OK" button to continue.
- Next, to create the list, click the "Add" button at the bottom of the window. In the window that opens, click the "Search" button to populate the left half of the window with the shipments you are processing.
- Move the shipments to be processed from the left pane to the right pane by clicking the ">>" button. Click the "Apply" button to proceed. Finally, click "Close" on the underlying window.
- From the main screen, click the "Ship a Package" button.
- In the "Service and Options" submenu, choose the service level for the shipments you are processing. Also, in the "Parcel Information" submenu, enter in any weights and measurements to be able to proceed with the process. Any values will do.
- Next, click the "Group Shipping" button. From the window that opens, chose the Imported Order you named in step 3e. When you are ready to process your labels, click the "Process" button. Once the labels have processed, click the "End of Day" button.
- Print the end of day information by clicking the "Transmit/Print" button. After a series of prompts, you will be returned to the Shipping window. Once there, click the "Close" button.
Importing Tracking numbers from the Canada Post program into Laris
Now it's time to import all processed tracking number for you exported shipments that were printed by the Canada Post program. The reason for this is to have the tracking number records for Customer Service records. Laris will also send out an e-mail notification with tracking number details to the buyer.
- From the main screen of the Canada Post program, click "Export History" from the "Tables" submenu.
- Provide a date range in the format YYYYMMDD (ie: 20050215) for which you would like to export information. Make sure the "File Format" option is set to "Original" and click "OK".
- Once you hit the "OK" button, you will be prompted to supply the name of the export file. Leave the default setting of year and date and click the "Save" button.
- Under the "Shipping" menu in Laris, click on "Manage Shipments". Under where is says "For selected Items" choose "Import Tracking Numbers". A new Laris dialog box should appear. Click on "Browse" and find the file called "ManifestItems20050125.txt" located in the directory you saved to from the Canada Post program. Once you have located the file, select it and click on "Open". This will take you back to Laris, now click on the "Upload" button once and wait until it completes the uploading of the tracking numbers.
- Once import has succeeded, a window will open displaying a report of all tracking numbers that have been imported. Print this report for your own records by right clicking it and selecting the :"Print" option.
- You have now successfully imported all tracking number for your shipments. It is now time to close all orders.
Closing Orders
Closing orders will trigger the order to get marked as "Order Closed & Shipped", will also decrease inventory quantity, and will also send
an e-mail notifying the buyer that the shipment has been sent with
tracking details as well.
Closing of orders can be achieved in 2 different ways:
1. If you are using bar code scan guns in your infrastructure use the following method to ensure that you do not ship a package to in incorrect destination and to close your orders automatically. Under the "Inventory" menu, click on "Store/Remove Products".
Click on "Remove for Shipping". Laris will now ask you to scan the "Tracking" barcode on the shipping label into the system. Then Laris will ask you to scan in your internal Laris assigned inventory bar code label. Once the 2 scans match, you will receive a message confirming the successful removal of your shipment and order
close.
2. If you are not using bar code scan guns in your infrastructure use the following method to close all orders that were processed via the Canada Post program. Under the "Orders" menu select all orders that you have printed shipping labels for and menu drop down where it says "For Selected Item(s):" choose "Close Orders".
